Prior Planning – Pre-Camp Checklist

January:
 

q       Take note of the payment plan and make sure you stay on target with the money due (all fees in by ______________).

q       Recruit two adult leaders (more if you have 20 or more Scouts).


April and May:

q       Make transportation arrangements to travel to and from CSR.

q       Send out final camp notices to parents.

q       Have committee members visit parents of Scouts not registered to encourage their attendance.

q       Make arrangements for the Off site Swim Checks.

q       Meet with the Patrol Leader’s Council and go over the camp preparation process.

q       Distribute health forms and make sure families understand how they are filled out.

q       Provide Scouts and parents with a list of what to bring.

q       Collect camp fees.

q       Consider each Scout’s needs for advancement, and check merit badge prerequisites.

q       Inform and assist Scouts with their respective prerequisites and pre-camp preparations.

q       Out of council troops make sure that the proper forms are on file at your council office, such as a local tour permit and that you have your councils’ own insurance form to bring with you to camp.

q       Share promotional and informational materials with parents and youth leadership.


Three Weeks Before Camp You Should:

q       Finalize program of activities your troop would like to undertake.

q       Inform Scouts and parents on what to bring, what activities to prepare for, and what other advancement opportunities are offered.

q       Collect and review all Scout and leader medical exam forms. Please remember that a licensed medical practitioner and the parent of the Scout must sign each form and be up to date. If a person does not have a physical form completed correctly, that person will be asked to get a physical exam before he is allowed to stay at Camp. This is a National BSA policy. No exceptions!

q       Make sure you have an accurate list of emergency numbers for parents.


A Few Days Before Camp You Should:

q       Prepare multiple copies of your Troop roster (for camp, other leaders, Senior Patrol Leader etc.)

q       Remind Scouts about lunch arrangements for Sunday (eat in advance, prepare sack lunch, etc.)

q       Check on transportation


Sunday, Day of Departure:

q       Complete final check on transportation

q       Remind Scouts of behavior standards for your troop, camp, as well as the Scout Oath and Law.

q       Hold inspection of personal packs and equipment.

q       Lay out Troop equipment and get ready for packing.

q       Make sure everyone has their medical forms and any medications!

q       Label all medications in their original containers with the Scout’s name and troop number. This includes aspirin, cough medicine, etc.

q       Plan on arriving at camp between 1:00-2:00 p.m. (call us if you are unable to).

q       Make sure transportation is planned for picking Scouts up on the following Saturday.

 

 

Checking Into Camp:

q       With many Scouts and Leaders arriving and checking in at the same time we need your help. We want to make this the easiest, fastest and most efficient check in process you have ever experienced. What we need most is your cooperation. We will have the staff available in the parking lot and at various check-in points to assist wherever needed.

 

We need you to:

q       Arrive between 1:00 pm and 2:00 pm. Please, no sooner or later.

q       Arrive with your entire troop at the same time.

q       Staff guides will be assigned to your Troop. They will assist and lead your Scouts throughout the entire check-in procedures.

q       Move into your campsite with your gear and do only essential setup. You should have time to return to your site and finish setting up later. Only one vehicle per troop will be allowed to go into your campsite to unload heavier gear. 

q       All vehicles must be moved out to the main parking lot for the rest of the week.

q       As soon as possible, change into your swimming suits and shoes, grab a towel, and begin your check-in tour of camp.

q       When in the Dining Hall for your seating assignments and Dining Hall orientation, remind the Scouts to pay attention because you will be here for most meals during your stay.

q       At the waterfront, Scouts and leaders will take a swim test unless your unit took pre-camp swim checks. This is required to enter the waterfront area during your stay. Each camper will receive a "buddy tag," which must be used to enter the pool or waterfront.

q       Return to your campsite, change clothes for the evening meal (Scout uniform) and finish campsite setup.
